Meeting Minutes January 8, 2018
Called to order at 1830.
Members present: Stacy, TJ, Pete, John, Natalie, Brad, Jeri, Jonelle, Diana, Kelly, Kim, Connie and David and Board Members Bruce, Jim and Barb.

Intro of Guests: none
Correspondence: We have quite a bit of correspondence and donations since last time. Thank You’s were received from Linda Clark, a patients’ family to Pete for going above and beyond for their daughter, and Diana to the Board for the Leatherman’s we all got for xmas gifts. Christmas cards from BBG Contractors, Janet, and Ms. Lane Didsbury. We also received donations from: Ms. Lane Didsbury, Mr. Saltness, Mr. and Mrs. Sloan, Koenig, Buttleman, Manhattan Bank, Kirby, Headwaters Car Clinic, Ms. Ainsley in Memory of Ana Richardson, Mr. and Mrs. Parker, Mr. and Ms. Clark, and the Wilcox Family.
VFW Update: No update, they have meeting scheduled for later this week. Kelly will keep us posted.
Last Months Training: KG Appreciation Dinner was phenomenal. Stacy sent a Thank You note and ran a Thank You article in the paper.
Run Sheets change: New, larger run sheets have been placed in rigs. Discussed whether to get larger clipboards for jump bags or to fold them in half on smaller clip boards.
Command Structure Change: Board did vote to change Command Structure to a Chief and Assistant Chief. Discussed other roles (Safety, Maintenance, Training, Supplies, etc.). Once Chief and Asst. Chief are assigned these roles will be assigned. Defib checks, Rig Inventories and Station Cleaning will now rotate alphabetically thru members.
Amb 3 Issues: Radio is now scanning as it should. Everyone needs to keep in mind that the radio transmits at 60 watts, not 100 watts like our other rigs if you encounter a dead spot. Headlight knob position had been a little tricky and needs to be figured out, idea to block sensor with tape so we will have headlights and taillights all the time.
Pete and Stacy will play around with knob after meeting and see if they can’t get it figured out. Some members are not happy with Lifepak placement, TJ has different brackets ordered to change position to other side.
January 12, 13,14, 20 EMT Refresher
EMT Class to begin in February (13th?) thinking Tues/Thurs and Sat. TBD
Maintenance (Pete): O2 tanks have been left on in rigs, the house O2 and portable on cots. Please remember to shut off bottles after use. Batteries on Lifepak 15 were both left in the red, please check levels after use. Rigs need to be cleaned AT Hospital. Please remember to refill forms in clipboard, this is getting overlooked. Wash cards are now in rigs if you want to run thru TF carwash. Amb1 should be done at Body Shop and over to SCS Wraps this week.
Supplies (David): Please put your name/initials after items on board so he knows who ordered it if he has questions. Tourniquets have arrived as well as strap for traction splint.
Safety (John): Suggestion to Board if changes are coming to Protocols to recognize there might be certain times where you need to use your cell phone in rig while responding or on call to make sure that is mentioned instead of saying it is never tolerated. This was made after recent event where location of call was unfamiliar and needed to be found. Also, to keep in mind with driving and operating new rig chance of having to take eyes off road to use switches, etc. is likely and to exercise caution.
Issues/Comments (Stacy, TJ, Pete):
Stacy: Had discussion with Reach and changes to auto pages, standbys etc. may be coming down the pipeline. There have been some delays with getting reports with call times from Dispatch. Some paging priority issues (C, D, E), not being automatically sent to AMR, please make sure there is unit coming if you need them don’t assume they are coming. AMR has implemented new equipment (computer) to be able to touch screen when enroute, etc. that goes directly to Dispatch so their radio traffic is cut down. This may be helpful for them, but makes it hard when we aren’t able to hear their traffic because there isn’t any to listen to. Gallatin County has hired several new Dispatchers, please be patient while they are learning the ropes. Some long-winded updates have made it difficult within our Service to coordinate team on West because of the increased time spent on radio with Dispatch on North. When getting out on radio, please key up mic and wait 2-3 seconds before you start talking or the beginning of your transmission may be cut off.
TJ: The backboard for the LUCAS was put in the case while it was charging and could have broken the charging piece off inside the unit. That would’ve been a $2500 repair. PLEASE be careful.
Pete: Lunches for refresher will be Lasagna on Sat and Chili on Sun.
Inventory/ Defib Checks:
Inventory: Jonelle AMB1, Stacy AMB2, David AMB3
Defib Checks: Jan 7-13 Kelly, Jan 14-20 TJ, Jan 21-27 Jeri and Jan 28-Feb 3 Connie. The 1st week of the month defib check needs to be full test using the module and you need to print strip.
Station Cleaning for January: Brad
Scheduling: discussed appointing members to calendar, instead of depending on voluntary sign ups. Will discuss further next meeting.
Year End Call Numbers: 318 total calls for 2017, including 135 transports and 183 refusals/cancels/standbys.
Incentive Points: Discussed whether to roll points year after year or make everyone cash out at the end of each year. Comment was made that current point value of 25cents per point was not enough compensation and needs to be increased. Board will discuss and make decision.
Run Reviews were skipped. Reminder to please type 3-4 sentence summary before using auto report generate especially on refusals.

Three Forks Area Ambulance Meeting Minutes 12/4/2017
Members Present: Stacy, Pete, Traci, Jonelle, Diana, David, Natalie, Kelly, Connie, Brad, and Board Members Jim, Gayle, Bruce and Susan.
Minutes of Previous Meeting: approved with the following additions. Stacy attended an Economic Development/Chamber of Commerce Meeting to discuss different ways increase our Ambulance service and get out in the community more. It was suggested the building could be used as the site of the next Red Cross blood drive, request was approved, and Connie is to coordinate.
Introduction of Guests: Barb Mutter was in attendance as our newest Board Member as well as Matt Bugland and Dick Aune, both from the local VFW. The VFW has offered to generously donate a new flag pole capable of flying two flags to the Station that is capable of withstanding 100mph winds. The VFW will also maintain this new flag pole for the Ambulance Service. Kelly will coordinate with VFW to see this project thru completion.
Correspondence: Bruce received praise from a resident of Clarkston and Jim heard gratitude from a resident of the Madison Valley.
Last Month’s Training: Pelvic Splinting with Dr Birrer was very well received. Super informative and refreshing to have a liaison from BDH with such an extensive EMS/Paramedic background. Traction splinting was also reviewed.
KG Appreciation Dinner: December 12th @1800 at KG Ranch.
Notebook for Image Trend on rigs: still pending
Mission Statement: A couple copies of the new Mission Statement have been printed and posted at the Station. Members agreed to have a larger, more formal copy made that will be framed and hung on the wall in the station. Thanks to John for all his hard work and to Main Street Office for the printing.
New Ambo Update: Amb3 has arrived and is now officially in service and is the 1st out rig. Most everyone was able to attend the driving course in it over the weekend, if you haven’t please get with Pete to get signed off before you can drive it. Amb2 has had some issues with the radio not scanning. Please be careful opening the back doors of Amb3 while parked in the station with regards to the dump feature, the trash cans along the wall could get crushed by the doors if the dump feature is activated. Amb3 is governed at 82mph currently during the break in period as controlled by the computer. Amb3 takes Blue Def fluid that can be purchased with the gas card inside the gas station, but you have to go in and sign for it. It should be a while before any Blue Def is needed, and is filled in the drivers side with the blue cap next to the gas cap. Gas cap is green for Diesel, but please remember we run Red Diesel in all rigs.
Run Sheets change: Run sheets will be receiving a make over to a larger, easier to see format. Once printed, they will be put into all rigs.
Chest Seals and Tourniquets: We agreed to increase the amount of chest seals and tourniquets we carry in case of MC event like we saw in Las Vegas, chest seals are in but we are still waiting for tourniquets.
Command Structure: Members present voted for change of Command Structure or to leave it the way is currently sits. Results 10 yay for changing the current structure, 3 nay for leaving it the way it sits. Some of Brad’s proposed changes were discussed, we will follow up on what these changes might be at future meetings. Kelly made a motion to vote for change of current Command Structure to a Chief/Asst. Chief, Traci 2nd’d.
Christmas Stroll: Brad said the Christmas Stroll went very well, he saw lots of new interest in joining the service, and we also received donations. Small flyers were passed out to give to any prospective members we may come into contact with.
January 12, 13, 14 and 20th will be the Refresher.
Emt Class: scheduled for Late Feb 2018.
Maintenance: Amb2 had knob for headlights go missing, knob has been replaced. If you have something break on one of the rigs please let Pete know. Amb1 is in at SCS Wraps being repaired then will have to be re-inspected.
Supplies: All on board have been ordered. Susan is waiting for shopping list for town.
Safety: Discussed winter safety and tips for safety when along roadsides. Please remember to park Ambo in front of Fire Trucks on MVA’s for maximum safety. Please place the maximum amount of metal in between you and any oncoming traffic or hazards. On Alpha and Bravo pages, we are not running code for our safety. We all know about the moth effect, and how people are drawn to the lights.
Issues/Comments: Pete purposely didn’t wash the rigs before Thanksgiving to see if someone else would step up and help out. No one did and the Ambulances were dirty for the night of the Xmas stroll. There are many things that have to be done other than just running calls and meetings. We all need to pitch in and help alleviate some members having too many responsibilities. Stacy wants everyone to remember if the pager goes off, a report has to be generated. Yes, even for refusals and cancellations. Everyone needs to start writing their own reports, if you cant sign on to Image Trend get with Stacy or TJ asap!

Three Forks Area Ambulance Meeting Minutes 11/6/17
Members Present: Stacy, Pete, TJ, Jonelle, John, Connie, Brad, Diana, Natalie, Jeri, Kelly, David and Board Member Jim.
Called to order 1835.
Minutes of previous meeting approved with the addition of discussing changes to current Command Structure.
No guests present.
Correspondence: Pete has heard negative comments around town from folks with police scanners that have been hearing no page acknowledgements and difficulties assembling crews.
Last Month’s Training:
MEMSA Oct 5-8 was only attended by Brad. He was very impressed by the Sim Lab, said it was awesome and had an Ob/Gyn scenario. Farm Implement training leaned towards taking machinery apart vs. cutting out of your way if seen on a call.
Geriatrics 10/6/17 covered many things including radios, suction unit in rig. We got a call during training and had a crew leave to transport.

Notebook on Rigs for Image Trend: Please remember to put the time and date on reports, or else the report will not be saved. Please log in and play around so you can get comfortable, we will have tablets on rigs within the next couple months. TJ will come to the Station for Image Trend Training this Sat, please coordinate with him if you would like to attend.
Mission Statement: John brought in a great idea for implementing a Mission Statement for the service. Some revisions were noted, the revised copy is attached to the minutes for everyone to read.
Command Structure improvement discussion: Several opinions were voiced including: feeling among several members was the current structure has too many chiefs and not enough Indians, some would like to see structure with Chief, Asst Chief, Training Officer, Maintenance Officer, Secretary, Supplies Officer. Safety Officer, Infection Control Officer, etc. This is ultimately a Board decision, so if you would like to discuss with them please attend the next Board Meeting Nov 13 at 1800.
Training : Refresher has been rescheduled for January 12, 13, 14 and 20th.
Nov 20 at 1800 Dr Birrer from BDH will be coming out to discuss pelvic splinting.
December: No Training Scheduled.
New Truck Update: The new rig has made its way to Helena, but will need to be inspected then brought down to Three Forks, stocked with gear and then re inspected and everyone will have to get signed off before it is put into use.
Maintenance (Pete): Amb 2 heater has been fixed and is working great. Master switch has been being left on again, please remember to turn it off when you park at station. It is located under the drivers seat. Amb 1 is chained up, please remember that you cannot exceed 30 mph while it is chained up.
Supplies (David): none
Safety (John): Old Man Winter is upon us, please exercise caution and stay safe out there. There was a call recently, where Fire requested a sanding truck because of ice, please keep that in mind if you encounter a scene where you need it as an additional resource.
Becky Appreciation: We have run a 1/4pg Thank You for Becky for all her years of service in the Lewis and Clark journal for one month. Other ideas were discussed and it was voted we will get a brick on her behalf at the Depot and have a bench dedicated to her at the Station.
Chest Seals and Tourniquets: Recent events in Las Vegas have brought concerns to light that rigs weren’t stocked with enough chest seals and tourniquets. We all agreed to order more supplies so each rig will have 4 chest seals and 2 tourniquets from now on.
Run Sheets: Pete has created new run sheets that are 2 pages and have much more room to write info, samples were passed around.
Report Narratives: If you use Image Trend option to have it create your narrative, you still need to add a 3 sentence report similar to handoff report because the computer generated report doesn’t explain visual on scene.

Last month’s training didn’t happen due to the board meeting.
Pipestone was covered and we have not been paid as of yet.
Colter’s was covered and we were paid.
Willow Creek Rural Fire will be holding a fire drill at the Willow Creek School on Friday the 13th at 1000. Anyone interested, take Amb 2 and be at the Willow Creek Station by 0930.
Willow Creek Rural Fire is holding their annual Firefighter Pancake Breakfast on Sunday the 15th from 0700-1100. Come out and support!!
MEMSA 5-8 Oct- Brad is going and has all his reservations.
Oct 16- Geriatrics and Radios, so bring your radio to training please!!
Nov 3,4,5 and 11 is our refresher!
Christmas Party- The KG Ranch is putting on a catered tri-tip steak dinner for Willow Creek Fire, Three Forks Ambulance and Three Forks Fire on 12 Dec at 1800. Please have a head count to Pete by 16 Oct. Families are encouraged to attend.
Our new truck is in Salt Lake City all ready to go, but they are waiting on 2 other trucks to get lettered before shipping to Helena. Once Helena gets it, they will call Pete to come and inspect it and sign for it. Then it will be stocked and inspected by the State Inspector prior to answering calls.
The new inverter has been received and installed in Amb 1.
The light problem in Amb 2 is being searched out…
Make sure you are putting the equipment back in the truck after a call. Recently a backboard was missing from Amb 2.
The station is being re-keyed and the door code is being changed. The new code will be 2942.
We swapped out first out trucks, Amb 1 is first out now.
A question was brought up about moving equipment, in particular, the mega movers. The mega movers have been relocated to the small right rear door where the spider straps and head blocks are stored.
If you have any ideas on how to better locate our equipment in the trucks or labeling of cabinets, please e mail your ideas to Pete so we can look at them and possibly incorporate them into the new truck.
A question was brought up about the Pre-Alert pages. We will receive Pre-Alert pages on all calls except MVA / MVC.
Discussion was held about the e mail John sent out. One of the main topics was coming up with a mission statement for the department. Anyone with ideas, please bring them to the November meeting.
Runs were reviewed on Image Trend. We still have a few others to portal over from HIRMS…get with TJ or Stacy to get this done.
There are still open dates on the calendar for crew sup. Reminder, when acknowledging page, wait a few minutes before requesting a manpower page. Dispatch is shorthanded so we need ot try and minimize radio traffic to them when possible.
